A: Log in to My Rotary and navigate to Manage>Rotary Club Central. The goals in Rotary Club Central are organized into categories across three tabs (Your Club, Service, Foundation Giving). The tabs are located along the top of the page. Scrolling down the page, you are presented options for the year. Ensure the 2016-17 year is selected. Set goals in each category by clicking edit next to the name of each goal category. Each goal will be a number, dollar figure, percentage, or Yes/No. Once you’ve entered the desired figure, click Save.

| Pay July and January semiannual dues to RI on time. Note: Verify your payment options on your club’s invoice or by contacting your financial representative. | Q: What does “on time” mean?
A: On time means the club pays the invoice at the time of receipt. Your club will receive payment reminders if payment has not been made within 30, 60, and 90 days. Failure to pay the invoice in full promptly after receiving the 90 day reminder will disqualify your club from achieving this goal and place your club at risk of termination.
Q: How do I view my club’s current balance?
A: Log in to My Rotary and navigate to Manage>Club and District Administration>Club Administration, and then click on the Daily Club Balance report link in the Club Invoice section. |
Membership Development – must achieve 2 out of 3 goals

A: Net gain is calculated by subtracting the club’s 1 July 2016 starting figure from its 1 July 2017 start figure.

A: These counts can be referenced by running the ‘Members in a Club’ report in Rotary Club Central.
WHY CAN’T I SEE MY CLUB’S MEMBERSHIP DATA ON THE REPORT?Your club membership data as of 1 July will not be available in Rotary’s database until the end of August. As a result, you won’t be able to track the Membership Development and Retention goals in the Presidential Citation reports until September. WHAT IF MY CLUB WAS NEWLY CHARTERED IN THE 2016-17 ROTARY YEAR?Any clubs chartered in 2016-17 that achieve all other goals in the Presidential Citation will be exempt from completing the Membership Development and Retention goals.

| Improve the member retention rate by at least 1 percent from last year. | Q: How is the member retention rate calculated?
A: Last year’s member retention rate equals B/A, where · A = Number of active members as of the 1 July 2015 invoiced-adjusted count. · B = Number of active members in A who are still active members of the same club as of the 1 July 2016 invoiced-adjusted count.
Current year’s member retention rate equals B/A, where · A = Number of active members as of the 1 July 2016 invoiced-adjusted count. · B = Number of members in A who are active members of the same club as of the report-generation date. *If the report is run on or after 1 July 2017 and the 1 July 2017 invoiced-adjusted counts are not available, then the Current year’s member retention rate displays a dash ( – ). Q: Where can I find member counts used to calculate retention rate?
A: Run the “Members in a club report” in Rotary Club Central.
Q: Do deceased members count negatively in the retention calculation?
A: Yes. Clubs can overcome this deficit by admitting and retaining new members during the year.
Q: Does chartering our satellite club into an independent Rotary club count negatively in the retention calculation?
A: Yes. Satellite members are considered full active members of the host club until its independent charter. At that time, these members will be recorded as terminations in the host club. This will decrease a club’s retention rate. Clubs that admit new members and retain current members will be able increase retention calculation.
Q: Do members transferring to another club count negatively in the retention calculation?
A: Yes. While they remain members of the Rotary family, member that transfer out of one club into another will count negatively in the retention of the previous club and will count as new members in the next club.

Induct new members under the age of 40. Clubs with up to 50 members must induct a minimum of two new members under age 40; clubs with 51 or more members must induct four. The new members must create profiles on My Rotary.

Q: How are new members under the age of 40 calculated?
A: New members under the age of 40 are calculated by counting members satisfying all of the following criteria: · joined the club between 1 July 2016 and 1 July 2017 · were born after 1 July 1976; in other words, the new member’s 40th birthday must arrive after July 1st of the Citation year and whose date of birth is reported in My Rotary.
Q: Where do I update new member’s date of birth?
A: Update date of birth on MyRotary.com under the Club Reports section by selecting the ‘Rotary Club Members’ report and editing the member’s information.

Foundation Giving – must achieve 3 out of 6 goals

A: Clubs’ 1 July membership statistics will not be loaded into RI’s database until the end of August. These statistics will be used to calculate your club’s per capita contribution. Check the report(s) in September to begin tracking your club’s progress towards this goal. Q: Are non-members included in this count?
A: No. Only active, dues-paid, members as of 30 June are counted. If a previous Bequest Society member or Benefactor leave the club, they will not be counted.
Q: Do we need to increase both Benefactor and Bequest Society members by one?
A: Yes. To achieve this goal, the number of Bequest Society members and Benefactors must increase by one. If a member achieves both in this Centennial year, that member would be included in the count for both Benefactor and Bequest Society.
Q: How can I track my club’s 5 year high in total club giving to the Foundation?
A: Consult the Benefactor Report, Major Donor, Arch Klumph, Bequest Society Report or Club Recognition Summary in Rotary Club Central.

Online Tool Adoption – must achieve 2 out of 4 goals

This report lists who is registered on My Rotary in your club. Encourage the members that are registered to update the Skills and Interest section of their profile to meet the goal.

A: Rotary Showcase is an online tool that enables Rotarians to share their completed service projects with people around the world. When creating a project on the site please be sure to add photos and as much detail as possible to accurately depict the great work your club does. Visit www.rotary.org/showcase.
Q: How do I make my project count in this year’s Presidential Citation?
A: Projects created directly on the site this Rotary year will be counted. You can also push your completed service projects from Rotary Club Central into Showcase, but please edit them and add photos to show the world the work you’ve done in detail once it is on the site. They will be counted if it was created in Rotary Club Central by a club officer last rotary year and is visible in Showcase this Rotary year.

| Contribute to a project on Rotary Ideas or post a project in need of assistance on Rotary Ideas. | Q: What is Rotary Ideas?
A: Rotary Ideas is a crowdsourcing platform that enables clubs to share their project plans and find the partners, volunteers, funding, and materials they need to get their service projects off the ground. Visitors to the site are encouraged to browse projects in need of assistance, connect with project organizers, and contribute electronically. Visit ideas.rotary.org.
Q: What do you mean by contribute to a project?
A: “Contribute” means that any club member has contributed funds, volunteer time, materials, or partnership to any project on Rotary Ideas between 1 July 2016 and 1 July 2017. You are fully expected to follow through on these commitments. If you are not contacted by the project creator please reach out to us or look them up on My Rotary or another app.
Q: What are some best practices when posting a project?
A: When listing a project, please add a photo and extra information as this will attract more donors. While only club officers can create a project, the site is open to the public, so it is paramount to share your project through as many channels as possible to get the most utility from the site (donors) and attain what your project needs. Those projects that receive donations should click on the contributions tab under their project’s photo in order to connect with donors.

Q: How do I sponsor a Rotary Youth Exchange student?
A: To sponsor an exchange student, inquire about potential candidates within your club. Applicants are selected by a sponsoring Rotary club on the basis of a written application and a personal interview. Qualified applicants are above average students who demonstrate community involvement and possess the potential to be an excellent cultural ambassador. Once students are selected by a sponsor club, they must also be approved by the sponsor district. All exchange activities must be administered in accordance with RI certification requirements. Contact your district Youth Exchange chair for more details on how your club can sponsor a student.
Q: How do I host a Rotary Youth Exchange student?
A: Hosting an exchange student can be an incredibly rewarding experience for your club, adding an international experience to your club meetings and events. Host clubs will appoint a member as the student’s counselor to serve as their advocate throughout their exchange. Clubs provide the student with a monthly allowance and cover any costs associated with their school attendance, however many clubs also assist in finding possible host families and organizing cultural or social activities for the student as well. Clubs must comply with all district and RI certification requirements prior to hosting, therefore, contact your district Youth Exchange Chair to find out how your club can get involved.
